Thanks to new apps and optimised import tools, manual processes are reduced and operational freedom in the web client is greatly increased.

How do visual process maps increase efficiency?

One of the key new features is the Process Maps function. These graphical interfaces enable complex business processes to be represented visually and offer guided navigation with quick access to related business tasks. The new Process Maps group already contains two predefined templates: Quote-to-Cash (sales) and Procure-to-Pay (purchasing). This allows core processes to be carried out more efficiently immediately without further customisation.

Two additional apps are included for individual requirements:

  • App Process Map Designer: Customise predefined maps or create your own maps that are tailored precisely to your needs.
  • App Process Maps: This app serves as a central list for all predefined and user-defined maps.

Permissions for process maps are defined in the SAP Business One client under the Administration - Process Maps option in the web client.

What are the advantages of the new available-to-promise report?

The Available-to-Promise Report app is now available in the Inventory Transactions group. This tool allows you to check item availability when creating sales documents. The app analyses current inventory, open documents and goods receipts to accurately meet customer requirements. If an item is unavailable, you can check the situation in other warehouses or switch directly to alternative items.

How does PDF export with XML attachments speed up your administrative processes?

The new SAP Business One FP 2602 makes data exchange with customers or business partners much easier. Sales documents can now be exported as PDF files that automatically carry the data in XML format in the background. This means that the documents are not only readable by the human eye, but can also be imported directly by other ERP or accounting systems.

How do the new Excel import functions simplify data maintenance?

SAP Business One FP 2602 significantly expands the options for importing data directly from Excel files into the Web Client. The data is copied from the file into the corresponding fields in the Web Client:

  • Master data: Item data and business partner records can now be imported via individual or bulk upload. Multiple files or worksheets are even supported for business partner imports.
  • Logistics: Batch and serial numbers can now also be integrated directly via Excel upload.
  • Finance: When importing journal entries, reconciliation accounts can now be assigned to business partners. It is particularly efficient to use a predefined template for journal entry headers and lines, where the system automatically assigns the fields.

Use of Chatbot

(1) This website uses a chatbot developed exclusively by us. The chatbot is a software-based dialog system that enables text- or voice-based communication with a technical system.
The chatbot operates on the RAG (Retrieval-Augmented Generation) approach, retrieving data from a database to answer questions as accurately as possible. These data, along with the user’s question, are sent to the language models of OpenAI, Inc. without transmitting any personal information about the user. The models attempt to answer the question using the provided data and return the response. The data are sourced from one of our internal databases, comprising text documents with marketing information about products and services of the SIGMA Group.

(2) The following data are processed: session ID for user requests, the time of the request, the request itself, the chatbot’s response, the topic, and the language.

(3) We process this data to analyze the productivity of our chatbot and to continuously improve it. This includes the following purposes:

  • Chatbot performance optimization: We collect and analyze interactions with the chatbot to evaluate its efficiency and performance. This includes, for example, questions the chatbot could not answer, repeated inquiries on specific topics, and similar issues.
  • Enhancing the user experience: We use data to improve the user experience. This includes analyzing user feedback to make adjustments and expansions to the chatbot to better meet your needs.
  • Error detection and resolution: The data allow us to detect errors and issues in real time, enabling faster resolution and updates to the chatbot.
  • Statistical evaluations: We generate aggregated, anonymized statistical reports on chatbot usage. These reports contain no personal information and serve to analyze trends and patterns.
