Account Reconciliation

Account reconciliation is the comparison of account balances and individual postings with the underlying documents or reference values so that differences can be identified and clarified. In SAP Business One, it is used to ensure the accuracy of account movements and to provide a reliable basis for the balance sheet and financial accounting. During this process, open, unclear or incorrect items are reviewed and corrected where necessary before an account is considered reconciled. This makes it clear at period end whether account balances are traceable and whether any corrections are still required before closing.

Accounting comprises all processes used to systematically record, check and evaluate a company’s financial transactions. It provides a reliable basis for presenting assets, liabilities, income and expenses in a transparent and traceable way. In SAP Business One, it forms the framework for financial accounting, the preparation of the balance sheet and the profit and loss account (P&L). It therefore supports not only statutory requirements, but also well-founded decisions for the economic management of the business. Alert functions

Alert functions are system functions that trigger automatic notifications and send them to selected users as soon as defined events occur. To do this, conditions are set, such as thresholds, points in time or status changes, and it is specified who receives the message and how often it is repeated. This helps relevant activities to be identified early and dealt with promptly, without the need for constant manual checking. Annual financial statements

Approval process

Once approval has been granted or refused, the transaction can either continue or be stopped accordingly.

An asset is a long-term resource used by a company, such as a machine or a vehicle. Assets are not purchased for direct resale but support day-to-day business operations over several years. Ongoing changes in the value of an asset affect the general ledger and feed into reports such as the financial report.

Authentication is the process by which a system verifies whether a person or application attempting to sign in actually has the claimed identity. It uses credentials such as a username and password, a token, or another form of security evidence. It ensures that only authorised users can sign in; only afterwards do access rights and user roles determine which data and functions they may use. Authentication therefore protects against unauthorised access and is a key element of security, traceability and controlled system access. In day-to-day operations, it ensures that only authorised employees can view sensitive information, process documents or change settings.

Availability Check

Availability check shows whether a requested item is available in sufficient quantity on the required date. In SAP Business One, it takes the current inventory and open incoming or outgoing movements into account so that a sales order can be confirmed realistically. This helps prevent overselling, supports more reliable delivery commitments and allows limited quantities to be prioritised in a controlled way. In day-to-day sales operations, an employee checks before confirming the order whether the requested quantity can be shipped immediately or whether part of it needs to be moved to a later date.

Available-to-Promise

Available-to-Promise is an availability check in SAP Business One that determines whether and when a requested quantity of an item can be promised for a sales order. To do this, the system considers current inventory as well as planned receipts and issues. This creates a realistic view of delivery capability instead of relying only on the quantity currently in stock. The function helps sales and planning teams confirm delivery dates with greater reliability and identify shortages early. If the confirmed quantity is not sufficient, an alternative item can also be checked so that an order can still be confirmed with a dependable delivery date.

A backup is a copy of data created so that information can be restored after an error, data loss or a system failure. Depending on requirements, it may include individual files, configurations or complete system states, such as the contents of a database. Backups are a core part of data backup and should be performed regularly in a traceable manner. A backup is often created before major system changes, such as an update or adjustments during system initialisation, so that a defined starting state is available if problems occur.

A balance sheet is a statement that shows a company’s assets, liabilities and equity at a specific date. It presents what the business owns and how those amounts are financed. It is a key part of financial accounting and an important basis for the annual financial statements. In SAP Business One, the balance sheet is derived from the balances in the general ledger and used for reporting, reconciliation and period-end activities, so at the close of an accounting period decision-makers can see how assets, debts and equity actually stand.

Bank Reconciliation

Bank reconciliation is the process of matching bank transactions with the payments and postings recorded in the system in order to clarify open items and reconcile the account balance transparently. It helps companies review incoming and outgoing payments more quickly, identify discrepancies, and prepare subsequent posting steps. In functional terms, it is closely related to bank statement processing and bank reconciliation, because account movements are compared in a structured way with the financial data already held in the system. This allows a company to assign open payments more efficiently after importing a statement and reconcile the current account balance in a traceable way.

A barcode is a machine-readable code that uniquely identifies an item and enables data to be captured quickly and with minimal errors during scanning. In ERP systems, it is often stored in the Item Master Data so that items can be identified automatically during movements or postings. This speeds up processes because the relevant Storage Bin can be called up and the Inventory Level updated immediately. Barcodes can also be used in production orders to open processes more quickly and start an operation directly, so that confirmations and material movements are recorded without unnecessary intermediate steps.

Batch management

Batch management is the systematic recording and control of batches so that goods can be clearly assigned and traced throughout their entire path within the company. In SAP Business One, it is especially useful when products are managed with production dates, best-before dates or other batch-related characteristics. This improves traceability and supports more reliable processes in quality management. It also creates greater transparency across the supply chain, because the origin, storage, processing and dispatch of a batch remain traceable. If a complaint arises, affected goods can be identified quickly and their use or delivery can be checked directly.

Batch picking is an order picking method in which item lines from multiple orders are collected together in a single picking run and then assigned to the individual shipments afterwards. Its purpose is to reduce walking distances and increase warehouse productivity, especially where there are many small orders with similar items. The picking process often follows a picking list and uses defined collection containers, while allocation to each order takes place only after picking, such as at packing stations or through scans at the storage bin. Batch traceability

Batch traceability refers to the complete tracking of a batch through all stages from goods receipt, processing and storage to despatch. It shows when and where a batch was used and which goods were affected. This is especially important for narrowing down deviations quickly, carrying out recalls in a targeted way and reliably complying with requirements in quality management. In combination with batch management, it creates transparency across the entire supply chain. This makes it possible to identify which products from a specific batch were delivered to customers.

The BIC is the international bank code used to identify a financial institution clearly in payment transactions. It is used together with the IBAN to assign payments to the correct bank, especially for cross-border transfers. In SAP Business One, the BIC can be stored in business partner or bank master data so that payment information is complete and can be processed automatically. This supports accurate processing in financial accounting and reduces errors when bank details are transferred, so payments to suppliers or refunds to customers can be prepared with the correct bank information.

Bill of Materials

A bill of materials is the structured list of all components and quantities required to manufacture a product. It defines which items are needed and in what quantity for a finished product, and forms an important basis for production orders. A bill of materials makes it possible to plan material requirements, consumption, and production costs in a transparent and consistent way. Changes to components or quantities directly affect the preparation and execution of manufacturing, so that when a production order is created, companies can immediately see which material must be available in which quantity to allow production to start without avoidable interruptions.

Business Intelligence

Business Intelligence refers to the systematic evaluation of company data in order to identify relationships, trends and deviations more clearly. A client is the access point through which a user interacts with a system to enter, review or edit data. In SAP Business One, this usually means the application that provides functions and information for daily work. The client connects the user with the processes and data of the ERP system and therefore forms the working interface for routine tasks. Depending on the setup, access may be local, browser-based or via the Web Client. In day-to-day operations, an employee signs in through the client to process documents, open master data or review reports.

Cloud refers to the provision of software, data and IT resources over the internet instead of on a company’s own local hardware. Companies access applications and information that are operated in an external data centre. This reduces internal IT effort and creates greater flexibility in day-to-day operation. In the SAP Business One context, the cloud is especially relevant as a private cloud or in connection with hosting when systems are to be operated securely by an external provider while still being used individually. Company database

Confirmations also help keep status information up to date and maintain a traceable link to the resources or transactions involved. Internal deliveries, receivables, liabilities and profits between affiliated companies are eliminated in the process. Consultancy refers to structured professional support for analysing, designing and improving business processes, as well as for introducing and further developing software. The aim is to ensure that processes are clear, practical and economically sound. Depending on the task, consultancy may also cover topics such as CRM, reporting or organisational procedures and can be complemented by SAP Business One training so that employees can apply new processes confidently and make decisions on a reliable system basis.

A contact person in SAP Business One is the specifically stored individual assigned to a business partner, for example for sales, purchasing or service. Several contact persons can be maintained for one company with details such as name, role, telephone number and email address in the master data or customer master data. This helps assign communication, responsibilities and transactions clearly and process them more efficiently in day-to-day work. A well-maintained contact person improves availability, reduces queries and supports reliable cooperation with customers and prospects. Controlling refers to the planning, management and evaluation of business objectives based on company data. Cost Centre Accounting

Cost centre accounting is a method in controlling that assigns costs to specific organisational units or areas of responsibility. It is used to determine the expected production cost of an item before manufacturing begins.

Creditors are suppliers or other parties to whom a company has financial obligations. In SAP Business One, they are maintained as business partners of the supplier type and form the basis for purchasing and payment processes. A creditor includes key master and posting data so that incoming invoices, liabilities and open items can be recorded and tracked correctly. This makes it possible to evaluate due payments, balances and transactions for each supplier transparently and reconcile them properly, so that a posted supplier invoice remains clearly traceable until it has been fully settled.

CRM stands for Customer Relationship Management and refers to the structured management of customer relationships and sales-related information within one system. A dashboard is an overview page that presents important information in a compact and usually visual form so users can quickly understand the current situation. It brings together selected key figures, highlights trends and allows users to move into more detailed views when needed. KPI are often used for this purpose. At the same time, a dashboard also serves as an individual cockpit that each user can configure and personalise according to their role and information needs, so relevant information is available exactly where decisions are prepared and tasks are managed.

A data centre is a specially secured operating environment in which servers, storage and network components are run centrally to provide applications and business data reliably. It typically includes redundant power and cooling, fire protection, physical access controls and organisational measures for operations, maintenance and disaster recovery planning. Depending on the operating model, a data centre may be used internally, as colocation or in the Cloud, and it forms the basis for professional hosting, including controlled backup and recovery processes. A company runs its ERP system in a data centre so that users can work across locations and data remains available even during outages through secured recovery procedures.

Data exchange refers to the transfer of information between applications or systems so that data does not have to be entered manually more than once. The aim is for the same information to be available consistently in both systems and for processes to run without media discontinuity. In practical terms, data exchange can mean that master data or document data is transferred on a regular basis, for example via data import and data export. Technically, this is often handled through a defined interface, which specifies which data is transferred and in what format.

Data import is the transfer of structured information from external sources into SAP Business One. Its purpose is to load data into the system in a controlled way instead of entering it manually. For the import to work reliably, content, format and field mapping must be prepared correctly. Only then can master data remain consistent and the database be kept free of incorrect entries. Data import creates a reliable basis for downstream processes and supports a consistent data foundation across the company. This allows new information to be made available more quickly without creating unnecessary entry effort or reducing the quality of the data used in the system.

Data migration is the structured transfer of data from a legacy system into a new system. During this process, information is reviewed, mapped and converted into the target format so that it can continue to be used completely and correctly. A data migration often involves master data, transaction data and open items. It is closely linked to data mapping and data cleansing, because fields, values and data quality must be aligned before the transfer. Data protection

Data protection refers to the safeguarding of personal data against unauthorised access, misuse and unnecessary processing. In a business context, this means collecting information only for clear purposes, storing it securely and making it accessible only to authorised persons. In SAP Business One, this mainly affects access rights and traceable processes for handling sensitive information. DATEV interface

A DATEV interface is a technical connection that transfers financial data from SAP Business One into a DATEV-compatible format. Delivery status

Delivery status shows the current state of a delivery in SAP Business One in relation to an order or document. It indicates whether a delivery is still open, partially fulfilled or already fully completed. This supports the management of shipping, delivery monitoring and customer communication. Delivery status results from the interaction of sales order, partial delivery and posted follow-on documents and can be traced clearly in the document flow. Depreciation refers to the scheduled or unscheduled reduction in the value of an asset over its useful life. It reflects the fact that fixed assets such as machinery or vehicles lose value through use, technological progress, or the passage of time. In accounting, this loss in value is recognised in the appropriate period and affects a company’s profit. In SAP Business One, the calculation and posting are carried out as part of the depreciation run, based on the stored depreciation parameters in the asset master data. This ensures that assets are valued correctly and that financial reports can be prepared in a transparent and traceable way.

A detail view displays the complete information for a selected record in a structured form. It supplements an overview or list with individual content so that users can review, edit or trace a transaction more precisely. In SAP Business One, the detail view is often used to inspect information from master data, a document flow or form settings in a targeted way without having to search between different views. This makes relationships clearer and supports decisions based on complete data, so an employee can immediately check all relevant information for a transaction in one view and continue processing it in a focused way.

Digital Packing Table

The digital packing table is a software-supported workstation for shipping where packing, scanning, label printing and shipping information are brought together in one process. In SAP Business One, this solution is provided by SIGMA as an add-on to map the shipping process in a structured and traceable way. By connecting Item Master Data, barcode capture and document data, information is processed directly in the system and manual intermediate steps are reduced. The VAT Return is the regular submission of VAT to HMRC in the UK, in which VAT collected is compared with deductible input tax. Depending on the size of the company, it is usually prepared monthly or quarterly for a posting period and results in either VAT payable or a refund. It is based on correctly posted documents and tax code determination, so that tax rates and assessment bases are evaluated correctly. After the period is closed, the VAT Return is reviewed, approved and submitted on time so that payment or refund can be posted on time.

Warehouse management refers to the control and monitoring of all warehouse processes within a company. This includes recording goods movements, maintaining inventory level, and assigning stock to a storage bin or warehouse. The Web Client is the browser-based user interface of SAP Business One. It provides access to selected functions and data without requiring a local installation and therefore supports location-independent working across the company. Unlike the traditional client, it focuses on a modern, simplified user experience for frequently used tasks. The format simplifies data exchange because both structure and content are described clearly, allowing different applications to interpret the data reliably. This becomes clear when an e-invoice is created in XML and passed to another system for automated processing.

An XRechnung is a standardised e-invoice created in a structured XML format and processed electronically. It is particularly important when dealing with public sector contracting authorities because it meets defined formal and technical requirements. Unlike a traditional PDF invoice, its content is structured so that systems can automatically read and process the data. This reduces manual effort and lowers the risk of errors in invoice processing. ZUGFeRD is a standardised format for electronic invoices that combines a visually readable PDF file with structured invoice data in XML format. In the context of SAP Business One, ZUGFeRD supports digital data exchange and the efficient processing of e-invoicing via an interface. This reduces manual data entry, improves traceability and simplifies transfer to downstream processes, so that incoming or outgoing invoices can be checked, processed and used in a compliant and reliable way across the business more quickly.
