With Feature Pack 2608, SAP Business One enhances the Web Client in several key areas. The focus is on functions that support day-to-day operations directly within the browser and make existing processes easier to use. At the same time, SAP Business One expands the options for reporting and enhances automation in various work steps. For companies that make extensive use of SAP Business One in their day-to-day operations, this primarily means greater consistency and a broader functional base within the Web Client.

AI in SAP Business One

With the FP 2608, generative artificial intelligence is making its debut in the SAP Business One Web Client. The focus is on the new Ask AI function, which is available in almost all list and detail views. Users can use it to incorporate selected data records into a question and pass field contents – such as item descriptions or quantities – as placeholders. The answers can then be explored in greater depth via a dialogue. Questions can also be saved as templates and managed via a dedicated Ask AI app in the Analytics group, where they can be organised by source object.

Furthermore, SAP Business One supports the AI-assisted generation of SQL queries from natural language in User-Defined Queries. The queries generated can then be checked, customised and reused in list and analysis views. To use these features, a pay-as-you-go account on SAP BTP and a configured SAP AI Core Service are required. It is important to note that no business data is processed or modified unless users deliberately pass it to the AI.

Sales, Purchasing, Warehousing and Logistics

The FP 2608 enhances the SAP Business One Web Client with several new functions for operational processes. Among the new features is the Purchase Quotation Generation Wizard, which allows multiple purchase enquiries to be generated simultaneously based on specific requirements. The enquiries can be sent to several potential suppliers or supplier groups and filtered by product range, product group or required delivery dates. They can be processed immediately or at a later date. The Dunning Wizard is now also available in the Web Client and supports the step-by-step execution of dunning runs, including customer selection, date filters and the inclusion of interest and charges.

In addition, the range of functions for warehousing, pricing and planning is expanding. With the Pick Pack and Production Manager and Pick Lists apps, open document lines can be consolidated into picking lists, grouped according to criteria, edited and transferred to follow-on documents. New pricing-apps support the maintenance of price lists, discount groups and special prices for customers and suppliers. In addition, there is a new MRP group through which planning scenarios, requirements recommendations and forecasts can be displayed in the Web Client and, if required, executed on a scheduled basis. This area is complemented by two new apps for stock revaluation, which allow users to view revaluation documents and create new transactions in a targeted manner depending on the valuation method. A journal entry is automatically generated upon saving.

Accounting, payments processing and cross-functional roles

With FP 2608, SAP Business One enhances the Web Client with new functions for reconciliation and payment processes. Dedicated apps for business partners and general ledger accounts are now available for internal reconciliation. These include applications for creating internal reconciliations, displaying allocated transactions and viewing existing reconciliations. In addition to manual processing, automatic reconciliation based on defined allocation rules is also supported. Furthermore, the New Payment Run app is provided, which supports the creation and management of payment runs in batches. The cheque process is also mapped more comprehensively in the Web Client. With Checks for Payment and Check Number Confirmation, cheques can be managed, printed, saved as drafts, cancelled and tracked by status.

This area is complemented by several cross-functional features. The Calendar app supports the planning and coordination of activities across various views and also allows entries to be moved using drag-and-drop. In addition, there is a new Project Management group with features for projects, phases, tasks, resources and time tracking. The range of functions in the HR area is also expanding, with apps for managing employee data, absences, organisational relationships and timesheets. Furthermore, the Process Maps are being enhanced, including the addition of external links within process steps and support for additional business objects.

Reports, Banking and Extensibility

One of the key focuses of FP 2608 is on analysis, coordination and technical extensibility within the SAP Business One web client. In the area of reporting, three new apps – General Ledger, Inventory Movement and Purchase Analysis – have been added, enabling data to be presented more flexibly, filtered more precisely and traced back to the underlying documents or journal entries.

  • The  General Ledger presents financial transactions from the perspective of general ledger accounts and business partners.
  • Inventory Movements show changes in stock levels, in terms of quantity and value, over time.
  • Purchase    Analysis supports the detailed evaluation of purchasing data.

New functions are also available in banking. Manual bank reconciliation is supported in the Web Client, as is external reconciliation using manual, semi-automatic and automatic processes. Furthermore, SAP Business One now supports the generation of bank files in the required SEPA formats for credit transfers (pain.001.001.09) and direct debits (pain.008.001.08). In the technical sphere, SAP Business One is simultaneously further developing the service layer. Webhooks can be enhanced with additional fields and events can be linked to conditions, thereby reducing follow-up queries to detailed information. Furthermore, User-Defined Values are updated more flexibly and made available for other objects.

FAQ

This is particularly relevant for businesses that use the SAP Business One web client extensively in their day-to-day operations, or wish to make greater use of it. FP 2608 significantly expands the range of functions in areas such as reporting, payment processes, purchasing, warehousing, project management and AI.

Yes. Even individual features can make an update worthwhile if they significantly reduce the workload in a key process or cut out existing detours.

The enhancements are likely to be most noticeable in the Web Client. These include new functions for payment and reconciliation processes, additional reporting options, new tools for operational workflows in purchasing and warehousing, and AI functions integrated directly for the first time.

No. Not every Feature Pack needs to be installed immediately. However, organisations should not skip too many releases over a prolonged period. As a rule, the effort involved in verification, testing and subsequent implementation increases with every update that is skipped. Furthermore, when carrying out an update, it is not only the latest version that must be taken into account; changes from previously skipped feature packs also become relevant. This can also increase the service costs associated with preparation, coordination and implementation.

Before implementation, business priorities, technical dependencies and the intended use of new functions should be clarified. This includes, in particular, testing, responsibilities and the question of which new features are actually to be used in the near future.

Use of Chatbot

(1) This website uses a chatbot developed exclusively by us. The chatbot is a software-based dialog system that enables text- or voice-based communication with a technical system.
The chatbot operates on the RAG (Retrieval-Augmented Generation) approach, retrieving data from a database to answer questions as accurately as possible. These data, along with the user’s question, are sent to the language models of OpenAI, Inc. without transmitting any personal information about the user. The models attempt to answer the question using the provided data and return the response. The data are sourced from one of our internal databases, comprising text documents with marketing information about products and services of the SIGMA Group.

(2) The following data are processed: session ID for user requests, the time of the request, the request itself, the chatbot’s response, the topic, and the language.

(3) We process this data to analyze the productivity of our chatbot and to continuously improve it. This includes the following purposes:

  • Chatbot performance optimization: We collect and analyze interactions with the chatbot to evaluate its efficiency and performance. This includes, for example, questions the chatbot could not answer, repeated inquiries on specific topics, and similar issues.
  • Enhancing the user experience: We use data to improve the user experience. This includes analyzing user feedback to make adjustments and expansions to the chatbot to better meet your needs.
  • Error detection and resolution: The data allow us to detect errors and issues in real time, enabling faster resolution and updates to the chatbot.
  • Statistical evaluations: We generate aggregated, anonymized statistical reports on chatbot usage. These reports contain no personal information and serve to analyze trends and patterns.
